Start with a reliable expectation

Reconciliation is easier when the expected earning is recorded against the policy that generated it. Keep the applicable commercial reference and calculation context alongside the amount so a reviewer can understand how it was derived.

A total at insurer level may be useful for reporting, but policy-level references make it easier to investigate partial receipts, adjustments and differences.

Separate a match from an exception

Bring receipt references, dates and amounts into the same review as expected earnings. Match only where the available references support the relationship. Keep unresolved items visible instead of forcing them into a convenient total.

  • Matched: the receipt and expectation agree.
  • Partial: some of the expected amount has arrived.
  • Unallocated: a receipt needs supporting detail.
  • Difference: the amount or reference needs investigation.

Assign the work behind the difference

An exception queue should show the owner, the reason being investigated and the next follow-up. Preserve supporting statements and the final resolution so the same item does not return as a fresh mystery next month.
