Turn the expiry list into a work queue
A spreadsheet of expiry dates tells the team what is coming. A renewal queue also tells them who is responsible, when the customer was last contacted and what must happen next. That additional context makes the difference between a report and a usable daily workflow.
Start with verified dates from the policy record. Group the work by the time available and the effort needed, rather than waiting until every item becomes urgent.
Track response, not just contact attempts
A call attempt is not a renewal commitment. Keep statuses that describe what happened: not reached, details requested, quote under review, customer decision pending, renewed or lost. Give each open status a next action.
WhatsApp reminders and voice automation can handle repeatable outreach, while your team takes over questions or decisions that require personal attention. Keep consent preferences and the conversation outcome with the record.
- Assign an owner before starting outreach.
- Record the last meaningful customer response.
- Escalate pending information while time remains.
- Verify the issued renewal before closing the item.
Learn from the book you did not retain
Review lost and lapsed items separately from successful renewals. A customer who could not be contacted requires a different response from one who chose another option. Use the recorded reasons to improve the next cycle.
FiNTRACK keeps renewals connected to customer and policy records so the next team member has the history needed to act.
