Keep the original policy and any endorsements linked to the record. Structured data helps with reporting, while the document remains the source to consult when something is unclear.
Review the fields that drive downstream work
An incorrect expiry date affects renewal follow-up. A missing policy reference makes receipt matching harder. A record linked to the wrong customer breaks the portfolio view. Prioritise fields that another team will rely on.
- Customer identity and policy reference.
- Insurer, product and policy period.
- Premium details and source document.
- Assigned branch, employee or POSP.
- Verification status and unresolved discrepancies.
Make corrections traceable
Give discrepancies a clear owner and keep a record of the corrected value and supporting document. If AI-assisted extraction is part of the workflow, route uncertain values for human review instead of treating extracted text as verified data.
A consistent verification queue gives operations teams a visible definition of “done” and helps finance and renewal teams work from reliable records.
