Build the record around the vehicle
Link the policy to both the customer and the insured vehicle. Keep the registration reference, insurer, policy number, policy period and source schedule together. A customer with several vehicles should have a clear record for each one.
Keep changes with the original policy
Store endorsements and corrected documents alongside the policy they update. Record what needs verification and who is following up, so an amendment does not disappear into a separate inbox.
Prepare the renewal conversation
Use the verified expiry date to assign the renewal early. Review the vehicle information, customer response and any open document requests before marking the renewal complete.
What to keep with the record
- Customer and vehicle linked
- Policy schedule and endorsements stored
- Insurer and period verified
- Renewal owner and next action assigned
Reference documents should be matched to the insurer, product and version on the issued policy. This guide covers record management; the issued policy determines coverage.
